LTVA invites submissions for Memorial Day Weekend Music Festival in South Lake Tahoe | South of Lake Tahoe

SOUTH LAKE TAHOE, Calif. — The Lake Tahoe Visitors Authority (LTVA) wants to host a three-day music festival in South Lake Tahoe over Memorial Day weekend and is seeking proposals from interested parties to plan it.
Normally a milder weekend for business compared to other holidays, LTVA’s goal is to bring more business to the area.
A Request for Proposals (RFP) has been posted for anyone interested in planning and executing the May 27-30, 2022 event on the California side of the South Shore. The closing date for all proposals is March 14 and the awarded contract will be announced on March 18.
LTVA said its intent is to give preference to Lake Tahoe area businesses and entrepreneurs who contribute to the area’s economy by maintaining a business and providing jobs for area residents.

CONTEXT
To the management of the South Lake Tahoe Tourism Improvement District (SLTTID), the Lake Tahoe Visitors Authority (LTVA) would like to receive proposals for the planning and execution of a three-day nationwide music festival. of the city, May 27-30, 2022. The purpose of the event is to raise awareness of the destination and overnight stays during a historically sweet holiday period.
RESIDENT PREFERENCE
The intent of the Lake Tahoe Visitors Authority is to give preference to Lake Tahoe area businesses and entrepreneurs who contribute to the area’s economy by maintaining a business and providing employment to area residents. Preference will only be applied when offers are received that are similar in scope, experience and organization. All resident preferences will be verified by the selection committee.
EVENT PLAN AND QUOTE REQUEST
Events must be located and scheduled on the California side of the destination, including within the city limits of South Lake Tahoe, and may extend to Camp Richardson.
A minimum of three venues/locations must be used each of the three days. However, the Selection Committee may consider more than three desirable sites and will assess applications accordingly. Indoor and/or outdoor sites can be considered.
Appropriate event producers and promoters would be responsible for sourcing, booking, scheduling and managing a full three-day event schedule, including obtaining necessary permits. All genres and themes will be considered.
To encourage community participation, venues that wish to schedule shows at their own expense can be added to the festival and could be included in the official schedule.
All paid events requiring the purchase of tickets are acceptable, beyond the scope of this RFP, and may be added to the official schedule. Funds acquired through ticket sales may be used to offset event expenses, but all ticket sales management must be included in the RFP. An outline of planned ticketed events, if any, and use of acquired funds should be included in the RFP.
Producers and promoters will be responsible for creating promotional marketing materials, such as posters, which LTVA will distribute digitally through its website, social media and email newsletter. All marketing materials will need to be approved by the LTVA prior to launch. The RFP must include any marketing or promotion that will be included.
Additional marketing will be provided by the LTVA to promote the festival within the target market.
Successful bidders will be required to provide proof of civil liability insurance, naming LTVA as additional insured.
All RFP submissions must include the following:
• Proposed calendar of events.
• Summary of the applicant’s experience in activities related to the scope of services.
• A detailed budget proposal including: administrative costs, performers’ fees, technicians’/technicians’ fees, equipment rental costs, etc.;
• An outline of how the results and success of the event will be aggregated and reported.
All submissions will be kept confidential and will not be shared with anyone other than the Selection Committee, SLTTID Board Members and LTVA staff.

The all-inclusive budget must not exceed $100,000.
